Typical workflow scenarios

Client stories & practical examples

These examples show how common tasks can be structured. The exact rules, supported formats and scope are agreed after reviewing your process.

Local PDF processing → Excel

Extract data from PDF documents

Input: Your digital or scanned PDFs, with fields and Excel columns defined in document profiles you can create and edit yourself.

Automation: Create reading profiles yourself or with our help. The program automatically reads PDF text and uses OCR when that is not possible. If data frequently lands in the wrong columns, optional local AI helps assign it to recipient, street, postal code and city fields.

Result: Structured data in Excel. Document reading, OCR and optional AI analysis take place within your environment.

Example per 100 address records

Manual entry~60 min

Existing PDFs~3 min

With scanning~6 min

Save ~57 min with PDFs (~95%), or ~54 min with scanning (~90%).

Prepared profile; one address record per document. Scanning includes processing and routine wrap-up. Searching for fields in document text and then retyping them can offer even greater savings. Actual times depend on the documents and checks required.

SFTP or folder → Outputs + run log + email

From manual file handling to an organised workflow

Before: Employees download files, unpack batches, rename documents and move them into folders manually. Following the correct sequence takes time, and new team members need training to avoid mistakes.

Our solution: We build a workflow around your agreed rules: collect files from SFTP or a local folder, check and process them, apply consistent names and organise the outputs. Every step is logged, and designated recipients receive a clear email summary.

The result: Less repetitive work, fewer misplaced files and easier handovers between employees. Your team can see what was collected, how it was processed and which items need attention.

Predictable by design. The workflow follows predefined rules rather than AI interpretation, helping keep recurring operations consistent and traceable.

Custom invoices → Accounting → KSeF

From a custom invoice export to a KSeF-ready workflow

Before: A company used a custom invoicing system without a KSeF connection. Its non-standard text export could not be imported into the accounting software.

Our solution: We turned the export into XLSX files the accounting software could import, allowing it to handle KSeF submission. We then automated data exchange through an API.

The result: The first working solution was delivered the day after the order. The client kept its existing system and avoided building and maintaining its own direct KSeF integration.

Recurring emails + Spreadsheet → Excel report

From recurring Outlook reports to one clear overview

Before: An employee found the period’s emails, copied figures into Excel, added data from another workbook and built the summaries and charts.

Our solution: Read the agreed report messages, apply fixed rules and add comparison data from an agreed spreadsheet. For these recurring inputs, we recommend algorithms rather than generative AI, which does not guarantee identical results on successive runs.

The result: The employee selects the period and rules, runs the process and reviews one combined Excel report — instead of assembling it by hand.

Each scenario can be adapted to your workflow. Outputs and validation rules depend on the documents and systems involved.

From task to working workflow

A clear path from idea to implementation

01

Review the process

We review representative inputs, the desired output and the rules or exceptions the workflow must handle.

02

Build and test

The agreed workflow is tested against sample data. Validation results and exceptions stay visible for review.

03

Deploy and document

The automation is introduced into the approved environment with operating instructions and a clear handover.

04

Maintain and refine

Changes to input formats or business rules can be handled through an agreed maintenance or development scope.

Scope and pricing

An automation project starts with your process.

The scope and quotation depend on the input formats, validation rules, integrations and how often the workflow needs to run. The project proposal sets out the deliverables, validation criteria, deployment and any ongoing support.

What helps us understand your task

  • A representative input sample, with confidential data removed.
  • An example of the result you want to produce.
  • The manual steps, processing frequency and typical volume.
  • The systems involved and exceptions that need review.

Which task would you like to stop repeating?

Tell us what comes in, what should happen and the result you need. We will help you define a practical starting point.
